Merton Children’s Hub Administrator Band 3

The Merton area of CLCH is looking for a dynamic, motivated and highly skilled administrator to join our excellent administration team. This role is as administrator for the Children’s Services administration team. The Administration hub team is the front facing single point of access for Merton Children’s Services and the post holder will need excellent communication, customer service, administration and IT skills to support the team to deliver a high quality service to our clients and professional partners.
  • The post holder will provide a comprehensive and high quality administrative support to the team.
  • The post holder will act as a point of contact for patients, colleagues and external partners and appropriately manage communications within the team
  • The post holder will take responsibility for referral, visit and appointment administration as appropriate to the role, and communicating appointment related information to patients/carers.
Your ability to effectively use computer systems to record information is essential. You will also need to have excellent written and verbal communication skills

The successful post holder will be supported in developing skills and knowledge through the Performance Appraisal and Development Review.

The post holder is a member of the Admin team and the responsibilities of the team are to support clinical services to manage the daily demand of referrals and to effectively prioritise incoming referrals into urgent and non-urgent.

The Merton Children’s Admin Team is responsible for processing and registering new referrals, booking clinics, updating waiting lists and communicating appointment related information to patients, carers and health professionals. They aim to make effective use of resources, reduce duplication and ensure that referrals are effectively and safely managed through the system. They that appropriate referrals are accepted and any urgent needs highlighted to the appropriate clinical services.

The Merton Children’s Administration department operates 09.00 –17.00, five days per week excluding Bank holidays. The Merton Children’s Administration Team provides Admin support to Health Visiting, School, Nursing, Looked after Children, Physiotherapy, Dietetics, Occupational Therapy and Speech and Language Departments.

  • Process new referrals in accordance with local Standard Operating Protocols (SOPs)
  • Book clinics and appointments and manage cancellations or amendments in a timely manner
  • Maintain health records as required and according to local SOPs
  • Utilise relevant electronic patient record systems to enter and retrieve patient data ensuring all details are accurately recorded in a timely manner
  • Provide accurate confirmation of appointments to patients
  • Maintain the integrity of patient data on electronic patient records, including the creation and update of records
  • Work closely with relevant departments to ensure that notes are prepared and available and that necessary clinical information has been obtained in time for clinics, where appropriate
  • Type clinic letters including audio typing if appropriate, reports, correspondence and other documents within agreed time scales and to agreed standards.
